PRIVACY NOTICE
This notice explains what personal information S.M.C.U. collects, why it is used, who it may be shared with and the rights available to you.
1. Who is responsible for your information?
James Atkinson, trading as Standard Maintenance Company Uniform (“S.M.C.U.”, “we”, “us” or “our”), is the controller responsible for the personal information described in this notice.

2. Information we collect
Depending on how you use the store, we may collect:
- Identity and contact information, including your name, billing address, delivery address, email address and telephone number.
- Order information, including products purchased, sizes, quantities, prices, delivery method, order status, returns and refunds.
- Payment and transaction information, including payment status, payment method and transaction references.
- Communications, including information provided through the Service Desk, email or correspondence about an order, return or complaint.
- Technical and usage information, including IP address, browser type, device information, cookie identifiers and interactions with the website.
- Account and preference information, where you choose to create a customer account or provide marketing preferences.
- Photographs or supporting evidence that you voluntarily send when reporting damaged, faulty or incorrect goods.
S.M.C.U. does not normally receive or store your complete payment-card number or card security code. Those details are handled by Shopify and the payment provider used at checkout.
3. How we obtain your information
We collect personal information:
- directly from you when you place an order or contact us;
- automatically when you use the website, through necessary cookies and similar technologies;
- from Shopify, payment providers, fulfilment providers and delivery companies involved in processing your order; and
- from fraud-prevention and security services used to protect the store.

Our legitimate interests include operating a secure and effective online shop, preventing misuse, responding to customers, improving services and protecting our legal rights. We consider these interests against the effect that processing may have on you.
5. Who we share information with
We share only the information reasonably necessary with:
- Shopify, which provides the ecommerce platform, checkout, customer-account and store-management services.
- Inkthreadable, which produces, packages and dispatches made-to-order products.
- payment providers used to authorise and process payments and refunds.
- postal services and couriers responsible for delivering orders.
- technology and communications providers, including Cloudflare and Google, where they provide domain, security, email routing or email services.
- professional advisers and public authorities, where disclosure is reasonably necessary to obtain advice, comply with the law or protect legal rights.
- Meta Platforms Ireland Limited and its affiliates, where you consent to optional advertising technologies. The Meta Pixel may receive information about your browser or device, cookie identifiers and actions taken on the store, such as pages or products viewed, searches, basket activity, checkout activity and completed purchases. This is used to measure advertising performance and understand how customers interact with the store.
We do not sell personal information. We do not permit service providers to use order information for their own unrelated marketing.
6. International transfers
Some service providers may process information outside the United Kingdom. Where personal information is transferred internationally, we rely on an applicable UK adequacy regulation or appropriate contractual and organisational safeguards required by UK data protection law.
7. How long we keep information
- Order, payment and accounting records are normally kept for at least five years after the relevant Self Assessment filing deadline, or longer where required by law or an ongoing dispute.
- General customer-service correspondence is normally kept for up to two years after the matter is resolved, unless it forms part of an order record, complaint or legal claim.
- Data-protection complaints and rights-request records are normally kept for up to three years after the matter is closed.
- Marketing contact details are kept until you unsubscribe or withdraw consent. We may retain a minimal suppression record so that we do not contact you again by mistake.
- Cookie and technical information is kept according to the duration of the relevant cookie, security requirement or platform setting.
Information may be deleted or anonymised sooner where it is no longer required.
8. Cookies and similar technologies
The website uses necessary cookies to operate functions such as the basket, checkout, security and customer preferences.
Where optional analytics, advertising or personalisation technologies are used, they will be controlled through the store’s cookie and privacy settings where consent is required. You can also manage cookies through your browser, although blocking necessary cookies may prevent parts of the store from working correctly.
9. Marketing
We will send promotional email only where you have asked to receive it or where another lawful permission applies. You can unsubscribe using the link in a marketing email or by contacting stores@standardmaintenance.co.uk. Unsubscribing does not stop essential communications about an existing order.
10. Automated processing
Shopify and payment or fraud-prevention providers may automatically assess transactions for signs of fraud or security risk. S.M.C.U. does not make decisions based solely on automated processing that have legal or similarly significant effects on customers.
11. Your data-protection rights
Depending on the circumstances, you may have the right to:
- request access to your personal information;
- ask us to correct inaccurate or incomplete information;
- ask us to delete information in certain circumstances;
- ask us to restrict how information is used;
- receive certain information in a portable format;
- withdraw consent where processing relies on consent; and
- object to certain processing.
RIGHT TO OBJECT: You may object to processing based on legitimate interests. You may also object at any time to the use of your information for direct marketing.
To exercise a right, email stores@standardmaintenance.co.uk . We may need enough information to confirm your identity and locate the relevant records.
12. Data-protection complaints
To make a complaint about how your personal information has been handled, email stores@standardmaintenance.co.uk with the subject line Data Protection Complaint.
We will acknowledge the complaint within 30 days, take appropriate steps to investigate it, keep you informed where necessary and tell you the outcome without undue delay.
You may also complain to the Information Commissioner’s Office. Complaints can be made through the ICO website or by telephoning 0303 123 1113. The ICO will normally expect you to give us an opportunity to address the matter first.
13. Security
We use appropriate technical and organisational measures and reputable service providers to protect personal information. No internet or email system is completely secure, so please do not send payment-card details, passwords or other unnecessary sensitive information through the Service Desk or email.
14. Changes to this notice
We may update this notice when our services, providers or legal obligations change. The current version and its revision date will remain available on this page.
